Artwork version control that works
On a programme with several SKUs in circulation, an outdated file being approved is the most common serious error.
- Every file named with the SKU code, die line reference and revision number
- One named person on your side owning the master file list
- Revisions incremented on every change, however small
- Approvals recorded in writing against a specific revision, not against "the artwork"
- Superseded files moved out of the working folder rather than left alongside current ones
- The approved proof retained, since production is measured against it
None of this is exotic, and all of it prevents the failure where the wrong version reaches print and nobody can establish when it diverged.
Running regulatory review alongside production
Where a brand has a regulatory reviewer, the useful thing is to run their review in parallel with structural sampling rather than after it.
The two stages have no dependency on each other: a reviewer can read copy while a plain structural sample is being cut. Sequencing them adds weeks for no reason, and it also risks the worse outcome where copy changes after a proof has been approved, which means new plates.
We print the file that is approved and do not review its regulatory content. What we will do is make sure the reviewer sees the laid-out artwork rather than only the copy in a document, because size and legibility only become apparent once it is set. Can you supply specification documentation for our files?
Yes. The quote states board grade and weight, print process, colours, finishing and construction, and the die line carries the reference number those documents cite.
